CC - Use The Contract Configurator to Prepare the Contracts That Support Your Real Estate Transactions

Introduction:

With the Contract Configurator (CC), you are able to compile, structure, and organize various elements into one comprehensive Contract and then prepare the fields to be filled out during closing.

Get Started

1. Launch the Contract Configurator (CC)

  1. Go to the project’s Workplace,

  2. Under Project Configuration, find the Contract Configurator (CC)

  3. Click on it


Info: As soon as you enter the app, you land on the All Templates List. 


Upload the Documents for the Contract Template

2. Read this Before you Upload the Documents for the Contract Template

!Check your Contract Documents 

  • Documents Must be in PDF format 

  • They Can’t Be Encrypted 

  • They Can’t Have Dynamic Fields 



!You can Try This if you can't get Documents that aren't Encrypted or Interactive:

  • To remove Encryption, Open the PDF in Acrobat. Select Tools > Protect > Encrypt> Remove Security

  • To remove Dynamic Fields, Open the PDF in Acrobat., Select Forms > Edit then Delete

  • There are also some Free Online Tools that remove the fields, such as AvePDF


!! About Uploading to the Media Library: 

If you have not uploaded the Documents to your Library yet, you can upload them now using the Content Asset Management System (CAMS). If you don’t know how to upload to the Content Asset Management System (CAMS), please Follow These Steps. For Optimal Performance, please follow our Asset Preparation Guidelines when preparing your assets.


!! About File Formats and Folders: 

Different Sections of the Bildhive Platform require you to upload files in Specific Formats. When a section requires a jpeg/png Format, only those Folders Containing jpegs/pngs will be Displayed on the left-hand navigation bar. If the section requires pdf format, then only the Folders that Contain pdfs will be Displayed when accessing the Media Library from that Specific Section of the platform.


3. Define the Contract Type and Upload the Documents for the Template

  1. At the Top Right of your Screen, click Add Contract Template 

  2. In the Add New Template Screen, enter a Name* for your Template 

  3. From the Contract Type Dropdown, select a Contract Type (i.e. Purchase Template, Lease Template, Amendment /Document, Amendment Lease, Supporting Documents, etc)

  4. Add a Description

  5. Under the Add Documents to Template sectionclick on Upload PDF(s) 

  6. to Upload the pdfs of All the Documents that will be included in the Contract

  7. From the Media Library, Select all the necessary Documents that you need to have in your Contract

  8. Click Select

  9. Once the files uploadthey will Appear under the Add Documents to Template Section

  10. Click Next

Info: Be Patient. 

There are usually Many Pages in a contract. Uploading and Configuring all these pages Takes Time.


!!  About the Amendment/Document option.

Use this option to configure Amendments or Documents requiring a Signature. 



Add the Fields to your Contract Template

4. Why is it Important to Configure All the Fields in the Contract?


When you set up the fields in the Contract Configurator, you provide a location to input data, without them, the information entered by the salesperson during a transaction will not appear in the Contract.


!!  The number of purchaser signing fields added during contract configuration determines how many purchasers can sign at the transaction point. 

To allow Additional Signers, add more signing fields in the Contract Configurator.


5. Select a Category and Set Up a Field

  1. First Select a Category from the Dropdown

The Fields Tool has two sections, the Categories Dropdown and the Fields List. The different Categories vary based on the Type of Contract you are Configuring. If you are configuring a Purchase Template, you see a list of Categories. If configuring a Lease Template, you will see a variation of the Categories. It is the same for all other types of contracts


  1. ThenSelect a Field from the List

Once you select a category, a List of fields Displays. The Fields Vary according to the  Category you selected


  1. LastlyDrag and Drop the field onto the template 

and Position it where you want it to appear


!! WARNING. Make sure all fields are placed WITHIN the contract margins, otherwise, the contract WILL NOT BE PROCESSED.


6. Set Up the Purchaser(s) Fields

  1. If the Fields Tool is not open, from the right-hand Tool Box, select the List Icon to Open it

  2. From the Dropdown menu at the top of the Fields Tool, Select Purchaser(s) 

  3. From the Secondary Dropdown, select Purchaser 1 to set up the fields for Purchaser 1

  4. From the List of Fields, select the Field that you wish to set up

  5. Drag the Field and Drop it in the right location on the Contract 

  6. Use the Edit Field Panel to adjust the name, format, size, and style of the text, and enable boundaries

  7. If you want this field to appear in the same position, on other pages, go to the Repeat this field on selected pages field and enter the pages where the field should appear

  8. At the Top Right of the Screen, click Save Contract  BEFORE YOU CONTINUE


!! Do this if you have multiple Purchasers

Secondary Dropdown is available in the Purchaser Field in case there are Multiple Purchasers. You can select whether the fields are for Purchaser #1, #2, #3, etc. A (1) will appear at the end of the field if Purchaser 1 is selected in the secondary dropdown. You will find Other Categories with Secondary Dropdowns, they work the same way.



7. Set Up the Rest of the Fields

  1. Once you finish with the Purchaser Fields, select a different Field Category from the Dropdown

  2. Drag and Drop the Fields from this category into the Contract

  3. Continue Dragging and Dropping Fields from the different Categories until you Finish setting up all the fields on Page 1 of your contract

  4. Save the Contract 


Info: Follow your Own Workflow

It is not mandatory to fill in the Purchaser Fields first. Fill in the Categories in any order and move between them as needed.


!! If you Don’t Set Up a Field, It Won’t be Populated in Your Contract.

Be aware that Unless a Field is Set Up in the Contract Template, the Data for the field will NOT be Populated when the Transaction is Completed with the Transaction Manager. If you can’t find a particular field in the list, you can Set Up a Custom Field.


8. Repeat a Field on More Than One Page

  1. To repeat a field on more than one page, first, Position the Field on the contract 

  2. Then, go to the Edit Field Panel and on the Repeat This Field On Selected Pages field, enter the pages where the field should appear

  3. The Field will Appear in the same Position, on all the Indicated Pages

  4. Save the contract 



!! Use the Transaction Manager to Set up your Deposit Structure BEFORE you link it to your Contract Template.


  1. If you have already set up your Deposit Structures and Installments in the Transaction Manager, open the Contract Configurator and Select the Template to which you want to link the Deposit Structure

  2. Once the template opens, Go to the Right Navigation Bar and open Settings

  3. Click the Deposit Structure dropdown to see a list of the deposit structures you created in Transaction Manager

  4. Select the one you want to Link to this Contract

  5. Then, Add the Deposit Structure Fields, into the Contract


10. Add the Deposit Structure Fields

  1. To add the Deposit Structure Fields, go to the Right Navigation Bar and select the List Icon to open the Fields Options

  2. Click the First Dropdown to open the Category List, then Scroll and select Deposit Structure

  3. From the Second Dropdown, select Deposit 1

  4. From the Deposit Structure Menu, select Deposit Date or Add-On Deposit Date and Drag and Drop it onto the template

  5. Then, select Deposit Amount or Add-On Deposit Amount and Drag and Drop it onto the template

  6. appears next to the # sign of the Deposit Field meaning this is a field for Deposit 1

  7. Repeat the Process with the remaining Deposits


11. Add Inclusion Fields

There are three ways to Add Inclusions to a Contract Template:

  • Add an Inclusion Field from the Fields Options

  • Add a Custom Inclusion Dropdown

  • Add a Text Field and use it to add an inclusion

Where to find these Inclusion Fields in the Transaction Manager

Add Inclusion Fields from the Field Options

  • Go to the Right Navigation Bar and select the List Icon to open the Fields Options

  • Click the First Dropdown to open the Category List, then Scroll and select Purchase Offer Details

  • Drag and Drop the number of Inclusion Fields that you Need

Inclusion fields added this way appear as a list in the Inclusion Section in Step 4 - Finalize Document  To select an inclusion(s) to be included, just checkmark them

Add a Custom Inclusion Dropdown Field

  • Go to the Right Navigation Bar and select the Custom Fields Icon

  • Click Add Custom Field 

  • In the Custom Field Pop-Up, give the Field a Name

  • From the Field Type Dropdown, select Inclusion

  • Drag and Drop the field to the right position in the template 

When you reach Step 4 - Finalize the Document, you'll see them in the Custom Fields Section.

Click all that apply in the dropdown.  

Add a Custom Text Field

  • Go to the Right Navigation Bar and select the Custom Fields Icon

  • Click Add Custom Field 

  • In the Custom Field Pop-Up, call the Field Notes

  • From the Field Type Dropdown, select Text

  • Drag and Drop the field to the right position in the template 

  • You can use this field to type in a special Inclusion for a Transaction

This appears as a Text field in the contract. Use this space to add an Inclusion to a particular contract if you forgot to do so.



Edit the Fields

12. Edit the Style of a Field

Info: About Stylizing and Setting Boundaries for a Field 

After placing a field in your contract, you can Stylize or Edit it by selecting a different Font, changing the Size, making it BoldItalic, or Underlined, or by Setting Boundaries for a Field.


  1. To Edit the Style of a Field, Click on the Field you want to change

  2. The Edit Field Drawer opens

  3. In the Edit Field Drawer, choose a different Font from the font dropdown, a different Size from the size dropdownor a different Style by selecting Bold, Italic, or Underlined

  4. To enable Field Boundaries, slide the slider to the Right

  5. Then Adjust the Rectangle that appears in the contract 

  6. To Close the Edit Field Drawer, click on the at the top right of the drawer or click outside the Edit Drawer


!!   Good to Know

If you click the X  at the top of the Drawer, the Fields Tool closes. If you click outside the Drawer, the Edit Drawer closes, but the Fields Tool remains open and you can continue selecting fields.


13. Copy and Paste a Field

  1. To copy and Paste a Field, select the field you want to copy

  2. Press Cmd C then Cmd V on a Mac or Ctrl C and Ctrl V on a PC

  3. Once the field is pasted, Re-position as needed

  4. To Repeat a field on More Than One Page, Follow These Steps 


14. Delete a Field

  1. To Delete a FieldClick on the Field in the contract

  2. At the bottom of the Edit Field DrawerClick the Delete Button

  3. Confirm Delete

  4. Close the Edit Field Drawer or Click outside

  5. Save Contract


15. Change a Field Type

  1. To change a field type, Click on the Field that you want to Change

  2. Delete the Field

  3. Select a new Field Type

  4. Drag and Drop the Field

  5. Save Contract


Create Custom Fields

16. Add Static Fields

Info: About Static Fields, 

Static Fields are used when the same information will always appear in the same field of a contract, for example, a company name, a logo, or a checkmark. To set up a Static Field, do the following:


  1. From the Toolbox on the right of the page, Select the Static Field Tool (Lightning  Icon)

  2. From the Static Field Drawer, Drag and Drop a Text Field (for the company name), an Image Field (for a logo) or a Checkmark Field to its location on the contract

  3. Close the Static Field Drawer


17. Add Custom Fields

  1. To create a Custom Field, go to the Toolbox on the right, Select the Custom Field Tool (Ribbon Icon) 

  2. In the Custom Field Drawer, select Add Custom Field

  3. In the Custom Field Pop-up, enter a Field Label* 

  4. You can opt to enter a Field Help (text that will guide the user)

  5. From the Dropdown Menu, select a Field Type* (Text, Multiple Choice, Date, Image, Checkmark)

  6. Click Okay

  7. To Place the Custom Field in the contract, Drag and Drop it to the location where you want it

  8. To Edit or Delete a Custom FieldClick on the Custom Field

  9. In the Edit Field Drawer, make the necessary Adjustments

  10. Close the Drawer

Navigate your Contract


!!  Find the Navigation menu at the Top of the Screen

Use it to Zoom in and out, Rotate the page, and Navigate between pages. You can also navigate your pages by clicking the Organize Pages Tool in the Toolbox (page icon) on the right of the screen and clicking on the Thumbnail of the Page that you want to Navigate to.


18. Zoom In and Out, Rotate and Navigate to a Page

  1. Zoom in using the spyglass with a Plus Sign

  2. Zoom out using the spyglass with the Minus Sign

  3. Move (pan) the page by clicking on your keyboard’s Spacebar and dragging the page around

  4. Reset the Zoom and Recenter the page by clicking 1:1

  5. Rotate the page Clockwise or Counterclockwise by clicking on the Rotate Arrows

  6. Navigate to the Next Page by clicking on the Right Arrow

  7. Navigate the Previous Page by clicking on the Left Arrow

  8. Navigate to a Specific Page by entering it in the Square 



Delete, Insert, Replace, and Move Pages

!!  The pages of your contract appear in the Same Order in which you uploaded them. Use the Organize Pages Tool, to move, replace, insert, or copy pages in the Contract. To access the tool, click on the Pages icon in the Toolbox on the right side of your screen.

19. To Delete a Page

  1. Select the Organize Pages Tool

  2. In the Drawer that opens up, Click the Delete Icon next to the Thumbnail of the Page that you want to Delete

  3. Confirm Delete

  4. Save your work


20. Insert / Replace a Page or Pages

  1. To Insert or Replace a Page, Select the Organize Pages Tool (page icon)

  2. Click the Insert /Replace Pages Icon (page with a plus icon) to the right of the Thumbnail 

  3. If you have not Saved your contract, you will receive a Save Progress message

  4. Click Continue

  5. In the Insert/Replace Pages pop-Up, Click the Upload Button to Open the Media Library

  6. Select the file that you want to Upload

  7. Indicate if you want the file Inserted Before the First PageAfter the Last PageAfter the Selected Page or if you want the file to replace the Selected Page

  8. You can also Select a Group of Pages to be Replaced

  9. Slide the Keep the Current Field Placement in New Pages slider to the Right, to Keep the Fields and Placement you want on the newly replaced page

  10. Click Ok

  11. Save your Contract


!! Here’s what you need to know about  Uploading to the Contract Configurator. 


21. Shuffle / Move a Page

  1. Select the Organize Pages Tool (Page Icon

  2. Drag and Drop the Thumbnail of the page you want and move to the desired location

  3. You can also select the Shuffle Tool (cross Icon)

  4. If you have not Saved your contract, you will receive a Save Progress Message

  5. Click Continue

  6. In the Shuffle / Move Page pop-up, fill in the details

  7. Click Okay 

  8. Save your Contract


!! What Happens to the Fields on the Page? 

Don’t worry, when you Move a Page, it Holds the Fields that were already placed in it.


22. Duplicate / Copy a Page

  1. To duplicate a page, Select the Organize Pages Tool

  2. Click on the Copy Page Tool (two pages icon) next to the Thumbnail of the Page you want to Duplicate

  3. If you have not Saved your contract, you will receive a Save Progress Message

  4. Click Continue

  5. A copy of the Selected Page will be placed Right Below it

  6. Save your Contract


Preview the Template you are Configuring

23. Preview the Contract Template

  1. To Preview your Contract, go to the Top of the Screen and click Preview

  2. The Contract will open up in Preview Mode


!!  Be Patient. 

Configuring the pages Takes Time. As well, be aware that in Preview Mode you can Preview the Fields that you have placed in your contract, but not Test the Functionality of the Fields.


24. Navigate the Contract Template

  1. Navigate through the pages with the Page Thumbnail Navigation Menu on the left to Navigate through the pages 

  2. Click the Hamburger Icon at the top left to Open / Close the Thumbnails 

  3. You can also Navigate to a Page by Entering the Number of the Page that you want to preview on the Page Indicator at the center of the screen

  4. Zoom in and out of the page by clicking - or +

  5. Fit the view to Width (square with arrows left and right) or to height (square with arrows top and bottom) 

  6. Rotate the Page

  7. Download the file

  8. Print the file

  9. Click on the X at the top of your screen to Close Preview Mode


The Templates List and Edit Actions

25. View a List of your Contract Templates and Supporting Documents

  1. To view a List of your Contract Templates, Click on the Back button at the top Left of the Configurator Screen 

  2. This takes you to the Contract Templates Screen where a List of all your Contract Templates is Displayed

  3. On the left Navigation Bar, select the Type of Templates that you want to Display

  4. CC


26. Preview, Rename, Edit, Duplicate, Move, or Delete a Contract Template from the Contracts Templates List

  1. To Preview, Edit, Duplicate, or Delete Contract from the Contract Templates Screen, locate the Template you want to Edit

  2. To the Right of the Contract, click the Three Dot Action Menu 

  3. Select Preview, Rename, Edit, Duplicate, Move or Delete


!! You can’t see the Three-Dot Action Menu?

Scroll to the right.


27. Export a Full Contract to an Existing  Project

  1. To export a Contract to a Project, open the Templates Screen

  2. Locate the Template you want to Export

  3. To the Right of the Contract, click the Three Dot Action Menu

  4. Select Export to Project

  5. In the Export to Existing Project Pop-up, select a Project from the Dropdown and then click Export


!! Only Admins or Owners of a Project, can Export a full Contract to a New Project.


28. Bulk Delete Contract Templates

  1. To Delete a group of Contract Templates, go to the Contract Templates Screen

  2. Select all the Templates that you want to Delete

  3. Click on the Bulk Actions Button at the Top of the Screen

  4. From the Drop Down Menu, select Delete Selected Contracts 

  5. Confirm Delete
