WM for Realtors - Designate and Manage VIP Realtors, Allocations, and Worksheets

Introduction:

On the Realtor side, the Worksheet Management App enables realtors to: 

  • View Unit Inventory and Allocated Units 

  • Fill in Worksheets with Allocated and Available Units

  • Send Worksheets to Builders for Approval

  • View Timelines and Commission Payout Structure 


The Worksheet Management system seamlessly integrates with various apps to afford this functionality.


To work as a VIP Realtor you only need access to two Apps:

  • Inventory Price Manager (IPM) – to view Unit Inventory and Allocation status

  • Worksheet Manager (WM) – to prepare and send worksheets

Get Started with Bildhive


If You Have Been Invited to Collaborate with Bildhive as a VIP Broker you Must follow these steps to Get Started


1. Step 1 - Open the You Are Invited Email

  1. Locate the You Are Invited email in your Inbox, and Open it

  2. Click Accept Invitation


2. Step 2 - Log In or Create an Account

  1. Once you accept the invitation, the Login Screen pops up

  2. If you already Have a Bildhive Account, Log In and Accept the Invitation

  3. Otherwise, in the Log In Pop-up, click Create an Account

  4. Fill in the required information*

  5. Review Bildhive’s SAAS Terms & Conditions and Privacy Policy*

  6. When you have finished reading, click I Agree

  7. Click Create Account

  8. On the Top of the screen, you will see a Notification that indicates you have Successfully Registered and that you need to verify your Email to Activate your account

3. Step 3 - Verify Email

  1. To Verify your Email, go to your Inbox, open the Registration Complete email and click Verify Email

  2. The Login Screen pops up

  3. Enter your Email and Password

  4. Verification Code will be sent to your Inbox

  5. Enter the verification Code and click Verify Device

  6. Once the Device is Verified, you are redirected to your Welcome Screen


!! You don’t see the ‘Registration Complete’ email?  

Check your Junk Mail folder or Spam folder. Otherwise, contact support@bildhive.com


!! TIP: Verify the device for 60 Days

Below the Verification Code field, select Verify this Device for 60 Days to skip this step for the next 60 days.


!!  Is there a Red Circle above the Invitations Tab?

An Invitation is Waiting to be accepted. You Won’t be able to see a Project UNTIL YOU ACCEPT THE INVITATION.


4. Step 4 - Open the Invitations Tab and View, Accept, or Decline your Pending Invitations

  1. Click the Invitation Tab to Open it

  2. Locate the Invitation in the Invitations List and click Accept or Decline

  3. If you Accept the invitation, you will be redirected to the All Projects Tab

  4. Select the Project and Start Working



Welcome to the Bildhive Platform - the Home, or Welcome Screen


On the Welcome Screen or Home Page, you'll find a List of all your Projects. At the top of the screen are four tabs: All, Recent, Pin, and Invitations. The first tab lists all your projects and is open by default. The second and third tabs list Recent and Pinned Projects, respectively. The last one contains a list of all pending. 


!! Navigation Tips: 

  • To return to your Home Page or Welcome Screen from anywhere on the platform, go to the Top Right corner of your screen, click your Monogram (circle with your initials) and, from the Admin Panel Dropdown, select Home 

  • To Return to the Previous Screen, click the Bildhive Logo at the Top Left of the Screen. It is your Back Button.

5. Get Started with the Inventory and Price Management App

  1. On your Home or Welcome Screen, locate the Project and select it

  2. This opens the project’s Workplace,

  3. Under Customer & Transaction Management, find the Inventory and Price Management App and Select it

  4. You will be redirected to the Unit Inventory Management Screen


6. Introduction

In this app you can see List of the Units and Add-Ons in the community. The list is arranged by Status and is Updated in Real Time. By default, the app opens on the Unit List Screen

There are two Segments on this screen: the Navigation Bar to the left and the Main Stage to the right.  


The Left Navigation Bar allows you to navigate to

  • Unit Inventory 

  • Add-ons Inventory


The Main Stage has Three Sections: 

  • Overview

  • Status Rectangles and Filters

  • Unit List


7. Unit Inventory Management Screen – Overview

This section displays the following unit information at a glance

  • Total Units in the Project

  • Units Available

  • Units you have Sold

  • Units that are ON Hold for you

  • Your Sold Conditional Units

  • Not Released

  • Units Allocated to you

  • Your Units that have been Approved for Reservation

  • Units Reserved for you


8. Unit Inventory and Management Screen – Status Labels and Filters

About the Unit Cards,

The main elements of the Inventory Management screen are the Unit Cards. These display the different Units and their details. By default, All Unit Cards are displayed and sorted numerically. Use Filters to display only Certain Units.


9. Filter the Unit Cards by Status

  1. Locate the Colored Rectangles above the Unit Cards 

  2. Checkmark One or More of the Status Rectangles

  3. The Units that Align with your Criteria are Displayed


10. List of Units

The Unit List displays the different Units and their details sorted numerically. By default, units are displayed in the Card View. Each card provides the following information:

  • Unit Number

  • Unit Tags

  • Status

  • Unit Code

  • Marketing Name

  • Unit Price

  • Price per Sq. Ft.

  • Commission (if applicable)

  • # of Storeys

  • Floor Level

  • Interior Sq. Ft.

  • Exterior Sq. Ft.

  • Exposure

  • # of Bedrooms

  • # of Bathrooms

  • Den (if applicable)

  • Loft/ Second Level (if applicable)

  • Terrace (if applicable)

  • Unit Premiums (if applicable)


11. Create a Worksheet From the Unit Inventory List

  1. To create a Worksheet for an Available Unit, go to the Left Navigation Bar and select Unit Inventory

  2. Filter the cards to view the Available Units and Locate the one for which you want to create a Worksheet

  3. At the Top of the card, next to the Available label, locate the Three-Dot Action Menu, and Click 

  4. Select Fill Up Worksheet

  5. This action launches the Worksheet Management App

  6. Then, follow these steps


!!   Why are some Units locked? 

Units labeled as anything other than Available are LOCKED. It is ONLY possible to start worksheets from Units labeled as Available.


View Add-Ons Inventory

12. Add-Ons Inventory Management Screen – Overview

There are three tabs in this section, the Parking Spot, the Locker and the Bike Rack Tabs. Depending on the tab you pick, they show the following information:

  • Total Parking Spots (Locker or Bike Racks) in the Project

  • Parking Spots (Locker or Bike Racks) Available

  • Parking Spots (Locker or Bike Racks) you have Sold

  • Parking Spots (Locker or Bike Racks) that are ON Hold for you

  • Your Sold Conditional Parking Spots (Locker or Bike Racks)

  • Not Released

  • Parking Spots (Locker or Bike Racks) Allocated to you

  • Your Parking Spots (Locker or Bike Racks) that have been Approved for Reservation

  • Parking Spots (Locker or Bike Racks) Reserved for you


13. Add-Ons Inventory and Management Screen – Status Labels and Filters


About the Add-ons Cards,

The main elements of the Inventory Management screen are the Cards. These display the different Addd-ons and their details. By default, All Add-on Cards are displayed and sorted numerically. Use Filters to adjust whet is displayed. 


14. Filter Add-Ons by Status

  1. Locate the Colored Rectangles above the Add-on Cards 

  2. Checkmark One or More of the Status Rectangles

  3. The Add-ons that Align with your Criteria are Displayed


15. Filter the Add-ons by Realtor/Asignee, Parking Type, and Parking Price; Locker Type and Locker Price; and Bike Rack Price

  1. Locate the Filters Button to the Right of the Colored Rectangles and Select it

  2. The Filters Drawer Opens

  3. Define your Filter Criteria

  4. Click Apply


!!  Do you Want to Define a Price Range? 

Enter a Price on the Left to set the Lower marker and on the Right to set the Higher marker.

16. Get Started

  1. From your Bildhive Homepage, select the Project

  2. On the project’s Workplace, under Customer and Transaction Management, select Worksheet Management

  3. The Worksheet List opens by Default


17. Add a Worksheet

  1. To Add a Worksheet, go to the top of the screen and select Add a Worksheet

  2. In the Worksheet Form pop-up, click the Worksheet Form dropdown and select a Form *

  3. Click Add New Worksheet

!! Are there no Forms listed in the Dropdown?

Please call the builder as they are in charge of creating the Worksheet Forms.


18. Fill in the Worksheet Information

When the Worksheet form Opens, provide the following information, if Applicable

  • Primary Purchaser’s Information *

  • Secondary Purchaser’s Information

  • Purchaser’s Lawyer’s Information

  • Unit Choice (#1*, #2, and #3)

  • Add Ons – Parking, Locker and/or Bike Rack (even if they are not allocated)

  • Once the information is in, click Submit

The Worksheet List

Introduction:

Once you submit a worksheet, it will be sent to the builder for approval and will be listed on your worksheet list as PENDING. As the approval process progresses, the worksheet status can change from PENDING to APPROVED, DECLINED, RESERVED, VOIDED, and SOLD.


19. View a Worksheet’s Details

To Open a Worksheets Details Screen, locate the worksheet in the List

At the End of the Row, locate the Three-Dot Action MenuClick and select View

The worksheet’s Detail Screen Opens and you can see the following

  • Worksheet ID #

  • Unit Option #1 

  • Unit Option #2

  • Unit Option #3

  • Approved Units appear in BOLD

  • Parking #

  • Locker #

  • Bike Rack #

  • Purchaser(s)

  • Submitted By

  • Status

  • Decline Reason (if Declined)

  • Date Created

  • Date Updated


!! Is your worksheet DECLINED and you wish to try again? 

To submit a request for a different Unit, just create a NEW WORKSHEET.


20. Edit a Pending Worksheet

  1. To Edit a Pending Worksheet, locate it on the Worksheet List

  2. At the End of the Row, find the Three-Dot Action Menu, click and select Edit to open the Worksheet’s Detail Page

  3. Make the necessary Adjustments and click Update


!!  You can only edit PENDING WORKSHEETS. 

The rest of the worksheets are LOCKED and can only be Previewed.


Reservation Agreements


Introduction:

In Bildhive, reservations fall into three categories:

  • No-agreement Reservations

  • Reservations with Agreement and NO Reservation FEE

  • Reservations with Agreement and and a Reservation FEE


21. No-Agreement Reservations

  • Worksheet is sent to the Builder 

  • The builder Approves the worksheet

  • You get a ‘reservation Approved’ Email from Bildhive

  • The Status of your worksheet changes from Pending to Reserved

  • If you had Multiple Unit Choices, the Approved unit appears in Bold

  • Once this process is complete, you are ready to make a transaction


22. Reservations that Require a Signed Agreement and NO FEE

  1. When a worksheet requires the client to Sign a Reservation Agreement, the Builder is in responsible for drafting it

  2. Once the builder approves the Worksheet, it switches from PENDING to APPROVED

  3. Both you and your client receive a Reservation Approved email 

  4. Then, those involved in the Signing Process, get the Reservation Agreement via Docusign 

  5. Once Signing is Complete, the status changes from APPROVED to RESERVED

  6. Once this process is complete, you are ready to make a transaction


23. Reservations that Require a Signed Agreement and Reservation FEE

  1. When a worksheet requires the client to Sign a Reservation Agreement, the Builder is in responsible for drafting it

  2. Once the builder approves the Worksheet, it switches from PENDING to APPROVED

  3. Both you and your client receive a Reservation Approved email 

  4. Then, those involved in the Signing Process, get the Reservation Agreement via Docusign 

  5. Once Signing is Complete, the client receives an email with a Payment LInk

  6. The status of the Worksheet changes from APPROVED to RESERVED

  7. Once this process is complete, you are ready to make a transaction


!!  The amount of the Reservation Fee gets automatically DEDUCTED from the final price.


!! Once the reservation is signed, IT CAN’T BE VOIDED. 

To dissolve the reservation, all parties must sign a Mutual Release agreement.


24. View a Copy of the Reservation Agreement

  1. To view a copy of the Reservation Agreement, open your Worksheet List

  2. Locate the Worksheet and Click the Three-Dot Action Menu to view its Detail Secreen

  3. At the Top of the Screen, select the Documents Tab

  4. You can see the Agreement listed here


25. Reservation Fee Refunds

  • For Reservation Fee Refunds, the realtor must advocate for the client, expressing their desire to cancel the reservation 

  • If the Contract outlines Refund Terms, the process for obtaining a refund would then commence
