Introduction


What is Zapier?

  1. Zapier allows you to automate workflows between different apps. These workflows are called Zaps and automate tasks like transferring leads from Facebook to Bildhive.

An interested Buyer fills out a Lead Form on a Facebook ad

Zapier captures the submitted data and triggers an action to send it to Bildhive.

New Lead is automatically created in your project’s CRM.


STEP 1 - Configure A Zap


Step 1a –Select an App and a Trigger

  1. Log into your Zapier account if you already have one, 

  2. Otherwise, create a free account here

  3. Once logged in, go to the top left and click Create 

  4. From the dropdown, select Zaps to create a new Automation Workflow

  5. On the Workflow Setup Screen click the Trigger box, and select Facebook Lead Ads


Step 1b –Define the Trigger Event

  1. Go to the 1. Select the Event window and choose New Lead

  2. In the Account field, click Sign In, to connect to your Facebook Account

  3. Follow the prompts to log into Facebook and grant Zapier access

  4. Click Continue


!!  Selecting "New Lead" ensures the Zap is triggered every time a new lead submits the Facebook form.


Step 1c –Configure the Form

  1. Under the Page field, select the correct Facebook Page where your Lead Ads are running

  2. Next, select the Form field and choose the Facebook Form that will be used to collect leads

  3. Click Continue


!!  The selected form will dictate which leads are captured by the Zap.


Step 1d–Test the Data

  1. To finalize the Trigger Setup, you must Test the Data captured from the Facebook Lead Ads form

  2. Click on the Test Trigger button

  3. This will pull in sample Lead Data from Facebook

  4. Review the Data to ensure it appears correctly

  5. For example, the Full Name and Email information should be pulled from the Facebook form fields

  6. If everything looks good, click Continue with Selected Record to confirm the Trigger setup


STEP 2 - Configure An Action


An action is a Task that happens automatically once the trigger event occurs (e.g., creating a new contact in Bildhive). 


Step 2a –Select The App Into Which The Information Needs To Flow

  1. In the popup window, search for Bildhive in the search field and select it from the app list

  2. This actions tells Zapier where to Send The Lead Information


!!  This ensures that the captured lead data is sent to your Bildhive project.


Step 2b –Select The Event

  1. In the Select The Event window, choose Create Contact as the action event

  2. In the Account field, click Sign In to connect your Bildhive account


!!  You will need to provide an API Key for your Bildhive project. Find it in your Bildhive project settings. 

Follow these steps to Copy the API key.


Step 2c –Copy The API Key

  1. Open a new tab and log into Bildhive

  2. On the Welcome screen, locate the project you are connecting to Zapier 

  3. Click the Three-Dot-Action menu next to the project, and select Project Settings

  4. Scroll down to the API Key section 

  5. Click the Copy icon (two pages) to copy your API key


!!  This key is necessary for Zapier to securely connect to your Bildhive project.


Step 2d –Paste The API  Key To Allow Zapier To Access Your Bildhive Account

  1. Return to the Zapier window, where you are asked to allow access to your Bildhive account

  2. Paste the copied API Key in the field provided

  3. Click Continue

  4. The Account field in Zapier will now show your Bildhive Project

  5. Click Continue


STEP 3 - Start Capturing Leads

Publish the Zap

  1. Once the Zap has been tested and everything looks good, a Green Arrow appears next to both the Facebook Lead Ads and Bildhive, indicating that both have been successfully connected

  2. Click the Publish button to activate your Zap

  3. Once published, the Zap Runs Automatically in the background 

  4. Every Time Someone Fills Out The Form on your Facebook ad, the information flows directly into Bildhive, Creating A New Contact in your CRM System

CHAPTER 2 - Using the Zapier Template to Connect Facebook to Bildhive


Step 1 - Select the Zapier Template

  1. Log into your Zapier account

  2. At the top right of the screen, click Explore Apps

  3. In the Search Bar type Bildhive and select it from the dropdown list

  4. This takes you to the Bildhive app page

  5. Scroll down to view the available Integration Templates

  6. Locate the template titled Create Contacts in Bildhive for New Facebook Lead Ads Leads, and click Try It


Step 2 - Configure the Facebook Lead Ads Triger

  1. In the New Lead window, the autopopulated fields should show as follows:

  • App: Facebook Lead Ads

  • Trigger Event: New Lead

  1. In the Account field, click Sign In to connect your Facebook account

  2. Follow the prompts to log into Facebook and authorize Zapier access

  3. Click Continue

  4. Under the Page field, select the correct Facebook Page where your Lead Ads are running

  5. Under the Form field, choose the Facebook Lead Form that will be used to capture leads

  6. Click Continue

  7. Click Test Trigger to pull sample data from Facebook

  8. Review the test data to ensure the lead’s name and email fields appear correctly

  9.  If the data looks correct, click Continue with Selected Record


Step 3 - Configure the Bildhive Action

  1. Under the Create Contact window, the autopopulated fields should show as follows:

  • App: Bildhive 

  • Action Event: Create Contact 

  1. In the Account field, click Sign In to connect your Bildhive account

  2. Zapier requires an API key to connect to your Bildhive project, follow these steps to copy the key, and these steps to paste it into Zapier

  3. Ensure the fields from Facebook are correctly mapped

  4. The Full Name field captures the complete name, so the separate First and Last name fields are not required

  5. Select the Email field and any other necessary fields

  6. The Source field defaults to Zapier, this can be changed

  7. Click Continue


!! Do the fields show No Data?

NO PROBLEM. Click the + symbol and select the correct fields from the dropdown menus.


Step 4 - Test and Publish the Zap


  1. Click Test Step to send test data to Bildhive

  2. Open Bildhive and navigate to your project’s CRM Leads section

  3. Refresh the page to verify the new lead appears in your CRM

  4. If everything looks correct, go back to Zapier and click Publish

  5. Once published, the Zap Runs Automatically in the background 

  6. Every Time Someone Fills Out The Form on your Facebook ad, the information flows directly into Bildhive, Creating A New Contact in your CRM System
